Who needs to use an illustration invoice?

Some illustrators may not need to send invoices, while others do. Whether or not you send an illustration invoice depends on the arrangement you have with the person or company who is engaging your illustration services. If you have a salaried position or are on a monthly retainer with a company, it is likely that you will be paid without submitting an invoice (though it’s important to confirm). If you are a freelance or contract illustrator, you almost always must submit an invoice to be paid.

As a freelance illustrator, what do I need to include in my invoice?

In order to get paid promptly, you must include certain pieces of information in your illustration invoice. First, you’ll need to include the name, address, and phone number of the company or person you are invoicing, as well as for yourself (or your small business). At the top, also include the date, the date by which you expect to be paid, and the method of payment you prefer. Then, you’ll need to include a description of the work you performed. This doesn’t need to be very detailed, but should give an idea of what you did (for instance: “product illustration,” “book illustration,” “brand illustrations,” etc). You’ll then need to put the cost of each piece of work on the invoice. This can be one flat fee, or an hourly rate, depending on the agreement you have with the company. If it is hourly, include the number of hours and multiply to get your total. At the bottom, total everything up, apply sales tax if necessary, and then include the grand total.

When should I submit my illustration invoice?

Different companies have different policies on when you should submit your invoice. Some prefer all invoices to be sent at the end of the month, while others will process invoices as soon as you finish your illustration work. Check with the company or client to confirm when they prefer to get their invoice.

What happens after I submit my illustration invoice?

After you submit your invoice, you should receive your payment by the date you specified on your invoice. If you do not receive your payment by this time, check in with the company to confirm that your illustration invoice was received. Keep in mind the method of payment you specified, so that you make sure you are looking in the right place for the payment.
