    WHO NEEDS TO USE A DAYCARE INVOICE?

    Some daycare work requires that you send an invoice, while some does not. Whether or not you send a daycare invoice depends on the arrangement you have with the client who is engaging your daycare services.

    If you have a salaried position or are on a monthly retainer, it is likely that you will be paid without submitting an invoice (though it’s important to confirm). If you are providing daycare services on a freelance or contract basis, you almost always must submit an invoice to be paid.

    WHEN SHOULD I SUBMIT MY DAYCARE INVOICE?

    If you are providing daycare services for a one-time engagement, submit your invoice as soon as the engagement ends. If you provide daycare services on an ongoing basis, you should submit your invoice at the end of each month.

    WHAT DO I NEED TO INCLUDE IN MY DAYCARE INVOICE?

    In order to get paid promptly, you must include certain pieces of information in your daycare invoice. First, you’ll need to include the name, address, and phone number of the company or person you are invoicing, as well as for yourself (or your daycare). At the top, also include the date, the date by which you expect to be paid, and the method of payment you prefer. Then, you’ll need to include a description of the work you performed. This doesn’t need to be very detailed, but should give an idea of what you did (for instance: “9-5 daycare,” “infant daycare,” “toddler daycare,” etc). You’ll then need to put the cost of each piece of work on the invoice. This can be one flat fee, or an hourly rate, depending on the agreement you have with the company. If it is hourly, include the number of hours and multiply to get your total. At the bottom, total everything up, apply sales tax if necessary, and then include the grand total.

    WHAT HAPPENS AFTER I SUBMIT MY DAYCARE INVOICE?

    After you submit your invoice, you should receive your payment by the date you specified. If you do not receive your payment by this time, check in with the client to confirm that your daycare invoice was received. Keep in mind the method of payment you specified, so that you make sure you are looking in the right place for the payment.
